Good donation packing is simple: keep the books dry, use containers that hold together, and make each load comfortable to move. Sustainable Books accepts books in boxes or suitable bags. You do not need a special carton, a printed label, or a catalogue of every title.

The aim is a clean handoff. A little care while packing protects your books and makes the collection easier for you and the receiving team.

Prepare a clear place to sort

Choose a dry table or another stable surface. Keep your keepers apart from the donation pile before you start. Check inside the books for loose photographs, letters, receipts, and bookmarks you want to retain. Look through the inside covers for personal contact information.

Handle ordinary dry books with clean, dry hands. The Library of Congress's handling guide also recommends a clean working area and gripping the middle of the spine when removing books from a shelf. Avoid pulling a tight volume out by its top edge.

Set aside books with water damage, suspected mold, or other condition concerns. Tell the recipient about them before packing them with unaffected copies. You do not need to repair a damaged book to ask for advice.

Choose containers for the load

Reuse sturdy, dry cartons if you have them. Inspect the bottom, corners, and handles before filling a box. A carton that previously held something light can become awkward when loaded with books. Reinforce loose box seams as needed and avoid cartons with torn bottoms.

Small and medium containers give you more control over the weight. There is no universal number of books per box: thin paperbacks and large hardcovers make very different loads. Stop before a box becomes difficult for you to manage. If you cannot comfortably move it, split the contents across another container.

For a few books, a strong bag can work well. Check the handles and the base. Do not use a bag that is already torn, and do not rely on a thin carrier for a heavy set of hardcovers.

Arrange the books without forcing them

  1. Put larger, heavier books at the bottom of the container.
  2. Place books flat in short stacks, or upright where the container supports them without pressure.
  3. Keep covers and page edges inside the box rather than bent around its rim.
  4. Fill large gaps with clean packing paper if books move around.
  5. Close the box without pushing down on protruding books.

Keep a multivolume set together where practical, but use another box if the complete set is too heavy. A simple note about the set can help you keep track. Leave books in their existing covers. Do not stick packing tape directly onto a cover or binding.

These are practical packing suggestions, not fixed Sustainable Books weight or sorting rules. If your collection includes oversized or fragile volumes, explain that in advance so the team can advise.

Keep the collection dry until the handoff

Store packed books indoors in a dry place. Avoid moving them to an exposed porch just to clear space early. A covered step can still receive wind-driven rain, and cardboard placed on wet ground is poor protection for books.

If you want a contactless pickup, agree on a sheltered, accessible spot with our team. Put the books there for the confirmed collection rather than leaving them out while you wait for a response. If the weather or your access arrangements change, contact the team.

Make the collection point easy to reach

Keep stairs, doorways, and shared corridors clear. Place the packed books together where you have agreed to hand them over. Tell us about steps, elevator restrictions, especially heavy cartons, or a long distance between the collection point and vehicle access.

A rough box count gives us useful information. If you add another room's books after booking, send an updated estimate. You do not need a title list for an ordinary mixed household collection.

A final check before you send the books

  • The donation and keeper piles are separate.
  • You have removed private loose papers.
  • Every container is sound and manageable.
  • You have disclosed condition concerns.
  • The books will stay sheltered until collection.

When you are ready, request a book pickup with your address, volume, and access details. If drop-off works better, check our warehouse locations and opening hours. The best packing is the kind that gets the books there in the same useful condition they left your shelf.
