You do not need to squeeze your whole library into the car to pass it on. Sustainable Books offers free book pickup in the Greater Toronto Area and nearby Ontario communities. The important first step is to send your exact address and wait for a confirmed booking. A request tells us what you need; it does not reserve a collection time by itself.

Here is how to turn a shelf of unwanted books into a clear, manageable pickup. You can also choose warehouse drop-off if that works better with your schedule.

Start with your address and a realistic description

Use our Toronto-area book pickup request form. Include your full pickup address in the message, with the postal code and unit number where relevant. A city name alone cannot tell us whether your address fits a current route.

Estimate the number of books or packed boxes. An approximate count is useful; you do not need to catalogue every title. Describe the main kinds of books, such as novels, children's books, textbooks, or a mixed collection. Ontario pickups accept all book types with no condition requirements. Describe damage or contamination so safe handling can be arranged. Acceptance for collection does not mean every copy is suitable for resale or a direct donation.

The form includes a broad quantity choice. If you have a large collection, add the more useful box count in your message. For example, “around twelve small boxes, mostly novels and history” gives a clearer picture than “more than twenty books.”

There is no minimum or maximum number of books or boxes for an Ontario personal pickup. If you have more than 20 boxes, let us know in advance. A larger collection may need a non-route day; that threshold is advance notice, not a collection-size cap.

A preferred day is the start of a conversation

Our Ontario pickup area extends from Concord through Toronto, southwest to Mississauga, west to Guelph, northwest to Orangeville and Caledon, north to Barrie, and east to Bowmanville. This is regional coverage: we still confirm your exact address, route fit, and available capacity before booking.

Tell us which days work and whether you have a firm deadline. We group pickups by location and route, then offer an available date and approximate arrival window. Your exact address and the route's capacity affect availability. We cannot promise the same schedule for every household in a broadly served community.

If you are moving, explain the final date when someone can provide access. Arrange the collection before the last day wherever possible. Keep a little room in your plan for a changed route or a building-access problem. The team will confirm the booking with you.

Apartment and condominium pickups need clear access details

For Ontario personal pickups, staff can collect inside homes and use elevators. Placing books at the entrance is strongly preferred, but it is not required. Stairs are possible, although we prefer to avoid them. Agree on the collection location when booking.

Think through the route from your books to the collection point. Include stairs, elevator access, loading areas, concierge requirements, and any short parking restrictions. If your building requires a service-elevator booking, arrange that through building management after you agree on the pickup details.

  • Give the unit number and the name used at the entry system.
  • Explain where the driver can meet you.
  • Tell us whether the books are upstairs or in another hard-to-reach space.
  • Include a phone number if reaching you at arrival will help.

Keep sensitive access information in the booking conversation. Avoid leaving keys or private instructions attached to boxes in a public area.

Pack for the handoff, not just for storage

Boxes or suitable bags are welcome. Choose sound containers that you can manage comfortably, rather than filling one oversized carton. Keep books dry and keep the walking route clear. For Ontario personal pickups, each box must weigh no more than 50 lb. Stop earlier if the load is uncomfortable to move, and split it into smaller containers.

No special labels are required. If a contactless pickup suits you, agree on an accessible, sheltered spot with our team first. A place that looks convenient from inside the house can be hard to find from the street. Describe it clearly and protect the books from rain. Do not put the collection outside several days ahead of an unconfirmed request.

When drop-off is the better option

Our Ontario warehouse is at 51 Caldari Road, Unit 10A, Concord, Ontario L4K 4N8. Drop-off hours are Monday to Friday, 9 a.m. to 4 p.m., excluding holidays. No appointment is needed during those hours, and staff can help you unload. Check the Concord location and current drop-off details before you travel.

Other donation programs have their own criteria. For example, Toronto Public Library's branch donation policy excludes textbooks and encyclopedias. Check the receiving organization's current instructions rather than assuming that every book collection accepts the same materials.

If plans change

If we need to change an agreed Ontario pickup day, the team will email you to arrange a replacement date. A change does not automatically mean collection will happen the next day.

Reply to the booking email if your timing, quantity, or access changes. If a confirmed pickup has not happened, contact the team so we can check the route and arrange another date where needed. Giving us the updated details is more useful than leaving the books out without a new agreement.

Once your books are ready, send the address, approximate volume, preferred days, and access details together. Those four pieces of information give us a good starting point for a free collection that fits your household.
